1. PRIVACY POLICY
At REYNES CYCLING, the protection and confidentiality of your personal data are extremely important to us. This privacy policy informs you about the type, scope, purpose, recipients, and legal basis of the personal data processed by us in relation to our services (hereinafter collectively referred to as "Services"), which we offer on reynescycling.com. Additionally, we inform you about your rights.
Personal data is any information relating to an identified or identifiable natural person (Art. 4 No. 1 of the EU General Data Protection Regulation (hereinafter, "GDPR")). This includes information such as your name, email address, postal address, or phone number.

1.2. What is the Legal Basis for Processing Your Data?
The legal basis for processing your data is:
- The performance of a contract or pre-contract for the provision of our bike rental services and associated products (Art. 6.1.b GDPR).
- Responding to requests for information or support from our customers (Art. 6.1.b GDPR for pre-contractual requests or Art. 6.1.a GDPR if explicit consent is given).
- Your explicit consent for sending information and offers about products and services of interest to you, or for sending our newsletter (Art. 6.1.a GDPR).
- Our legitimate interest (Art. 6.1.f GDPR) for the security of our bicycles and systems, fraud prevention, improvement of our services, and the defense of our business interests.
1.3. For What Purpose Do We Process Your Personal Data?
At REYNES CYCLING, we collect and use personal data from interested parties only to the extent necessary to:
- Provide our bike rental services, process reservations, manage payments, and ensure the functionality of contracted services.
- Send you information and offers about products and services of interest to you, if you have given your consent.
- Send you our newsletter, if you have subscribed to it.
- Manage and respond to your information and support inquiries.
- To offer you products and services in line with your interests, we may create a "commercial profile" based on the information provided. No automated decisions with legal effects will be made based solely on this profile.
1.4. How Long Will We Retain Your Data?
Personal data provided will be retained as long as the commercial relationship is maintained or until its deletion is requested by the data subject. In any case, it will be kept for the legally required period for compliance with tax, accounting, and legal obligations. Generally, the data will be retained for a period of 5 years from the last confirmation of interest or the termination of the contractual relationship, for the purpose of addressing potential liabilities arising from processing.
1.5. To Which Recipients Will Your Data Be Communicated?
We process personal data only within our company. Our customers' information will not be shared with third parties for purposes unrelated to the provision of our services. To the extent that we use third-party services to provide our services (e.g., payment gateways, transport companies for bike deliveries/collections, platforms for booking like Booqable, or technical and hosting service providers), we will only transmit personal data to such third parties insofar as the transmission is necessary for the respective service and there is a legal basis for the transmission. All such third parties will act as data processors under our instructions and with the corresponding data processing agreements (DPAs) in place.
1.6. What Are Your Rights When You Provide Us With Your Data?
Anyone has the right to obtain confirmation as to whether or not REYNES CYCLING is processing personal data concerning them.
You have the right to:
- Access your personal data (Right of Access).
- Request the rectification of inaccurate data or, where appropriate, request its erasure when, among other reasons, the data is no longer necessary for the purposes for which it was collected (Right to Rectification and Erasure/Right to be Forgotten).
- In certain circumstances and for reasons related to your particular situation, data subjects may object to or request the limitation of the processing of their data (Right to Object and Right to Restriction of Processing). REYNES CYCLING will stop processing the data, except for compelling legitimate reasons, or the exercise or defense of possible claims.
- Receive the personal data concerning you, which you have provided to us, in a structured, commonly used, and machine-readable format, and to transmit it to another data controller (Right to Data Portability).
- Withdraw the consent given for the processing of your data for marketing or newsletter purposes at any time, without affecting the lawfulness of processing based on consent prior to its withdrawal.
To exercise any of these rights, you can send us a written request to [email protected] or to our postal address indicated at the beginning of this document. Your request must include your full name, copy of your ID/passport and the right you wish to exercise.
You also have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD), if you consider that the processing of your personal data infringes applicable regulations, through their website www.aepd.es.
1.7. Detailed Data Processing
Below, we inform you about the different ways personal data is processed, its purpose and legal basis, and how long it is stored.
a) General Access to Our Platform (Log Files)
We routinely collect a series of general data and information each time our platforms are accessed. This data is stored in so-called log files of our system. We may record (1) the types and versions of browsers used, (2) the system operating system used by the accessing system, (3) the website from which an accessing system reaches our platforms (referrer), (4) the sub-websites accessed via an accessing system on our website, (5) the date and time of website access, (6) the Internet Protocol address (IP address) and the Internet service provider of the accessing system, and (7) other similar data and information used for security purposes in case of attacks on our information technology systems.
For security reasons, particularly to trace attacks on our platforms, we store this data, including the IP address, for a limited period and then delete it. The IP address is necessary to establish and during the connection to allow the contents of our platform to be delivered to you. The legal basis for the processing and subsequent storage of the IP address is a legitimate interest in accordance with Article 6(1)(f) of the GDPR (our interest in network and information security). The legitimate interest with regard to the transmission of the IP address lies in the fact that this is necessary for the display of the contents of the respective platform; the display of the website is not possible without the transmission of the IP address.
By using this general data and information, we do not draw any conclusions about you as a person. On the contrary, this information is necessary to (1) correctly deliver the contents of our platform, (2) optimize the contents of our platform and its advertising, (3) ensure the permanent functionality of our information technology systems and the technology of our platform, and (4) provide law enforcement authorities with the information necessary for law enforcement in the event of a cyberattack. Anonymous data from log files is stored separately from all personal data provided. The data will not be passed on to third parties.
b) Processing of Data Submitted Via Forms
Contact forms are provided on our platform, which can be used by our users for electronic contact for information and support purposes. By clicking the "Send" button, you consent to the transmission of the data entered into the input interface to us. Additionally, we save the date and time of your contact. You can also contact us via the email address or phone number provided. In this case, the personal data transmitted with the email/call and our response will be stored.
The personal data voluntarily transmitted to us in this context serves for processing your inquiry and establishing contact with you. The legal basis for data transmission is Art. 6.1.a GDPR (your consent) or Art. 6.1.b GDPR if the inquiry is pre-contractual. We store the data for this purpose until the conversation with you has ended. The conversation ends when the circumstances indicate that the facts in question have been finally clarified and that there will be no further questions in the future.
c) Newsletters and Similar Messages
You can register to receive newsletters by confirming in your account or by sending us your email address. In this case, we will use your email address to send you our periodic newsletter in which we will inform you about topics of interest. The legal basis is your consent in accordance with Art. 6.1.a GDPR.
In relation with your newsletter registration, we also store your IP address and the date and time of registration so that we can track and prove the registration at a later time. The legal basis for this storage is a legitimate interest within the meaning of Art. 6.1.f GDPR, whereby the legitimate interest is the possibility to prove registration. We store your email address for sending newsletters until you unsubscribe from the newsletter service or until we stop sending you the newsletter.
You can stop receiving newsletters or other messages from us at any time by using the appropriate settings in your account's notification options or by using the corresponding opt-out link contained in each email from us.
d) Account on Our Platform and Booking Processing
By registering on our platform in order to use our services, we offer you the option to enter into a contract for the use of our services based on our Terms of Use. We collect your email address, as well as your name, postal address, NIF/CIF/NIE, and contact phone numbers. The email address and your password serve as login data to access your account. In connection with account registration and the setup of various functions, we also store your IP address and the date and time at the time of registration or the setup of the respective functions.
In connection with each use of the account on our platform, we automatically process login data in order to prevent misuse or fraudulent use of our services, to protect REYNES CYCLING against attacks on our system, and to ensure and verify the proper functioning of contractual services at all times.
The legal basis for the storage and use of your personal data in connection with your account and booking management is the performance of your contract with us, Art. 6.1.b GDPR.
We store your personal data for as long as necessary to provide the contractually agreed service. Personal data stored by you in your account and your profile are available to you for the duration of the contract and are stored by us for this duration. Personal data will be deleted if you do so in relation to individual data or the account on our platform as a whole, ask us to do so accordingly, or if the contract terminates, i.e., if you or we terminate the contract.
e) Processing of Payment Data
To process bookings and rental payments, we collect information necessary for the transaction, which may include your credit or debit card details. We do not directly store your full credit card details. We use external, secure payment service providers (such as third-party payment gateways) that comply with PCI DSS standards to process payments.
Legal Basis: Performance of the contract (Art. 6.1.b GDPR) and compliance with a legal obligation (Art. 6.1.c GDPR) in relation to invoicing and tax requirements.
Retention: Transaction data is retained for as long as necessary to comply with legal and accounting obligations (generally 5 years or more, depending on tax regulations).

3. GENERAL BICYCLE HIRE TERMS AND CONDITIONS
These General Bicycle Hire Terms and Conditions set out the conditions under which Reynes Cycling S.L. ("REYNES CYCLING") hires bicycles and equipment to its customers. By making a reservation or hiring a bicycle, you accept and agree to comply with these terms.
3.1. General
- a) REYNES CYCLING aims to provide high quality specialist bikes for hire. To achieve this at a reasonable cost we ask our customers to treat the equipment responsibly.
- b) Bikes and equipment can only be hired from REYNES CYCLING on completion of a Hire Agreement Form or by accepting our hire conditions on our online booking portal. REYNES CYCLING reserves the right to take the customer's Credit Card details to hold as security until the bike is returned in the condition it was hired out in. Upon acceptance of these Terms & Conditions, a binding contract is formed between REYNES CYCLING and the hiree. REYNES CYCLING reserves the right not to accept or to fulfill a Booking.
- c) All Bookings are subject to availability. When a Booking is made by one person on behalf of another person or people that person confirms to REYNES CYCLING that he or she has the authority to make such a booking.
- d) The Hire period commences on the day the cycle(s) and equipment are collected or dispatched to you and continues until the cycle(s) and equipment are returned to the business premises of REYNES CYCLING (Carrer Arxiduc Luís Salvador, 5, 07179 Deià, Illes Balears, Spain).
3.2. Hirer's Terms and Conditions
- a) You are responsible for ensuring that you are physically fit enough to undertake cycling any distance or compete in events using REYNES CYCLING Bicycles or Equipment you have booked. REYNES CYCLING does not accept any responsibility for your failure to complete your Hire period due to lack of fitness, illness or injury. REYNES CYCLING does not accept liability for death, personal injury, loss or damage to personal effects to any participant, nor can REYNES CYCLING accept any responsibility for delays or changes to your period of Hire due to weather, strikes, war, terrorism or other causes of force majeure.
- b) You accept that cycling on a public highway and competition on such carries its own risks and you have made your booking on the basis that you undertake the Hire at your own risk. You understand and accept that wearing of cycle helmets is mandatory at all times when riding in Spain.
- c) You will ride your cycle responsibly at all times. You will not hold REYNES CYCLING responsible for any loss, damage or injury including death to persons or property with regard to the use of the cycle(s) and equipment hired. You accept responsibility to Indemnify REYNES CYCLING against any claim, interest, demand or expense in respect of such injury or damage.
- d) You will ensure that you have suitable Insurance cover at all times during the period of your hire. REYNES CYCLING may offer a special service "Partial Coverage of Damage" for bike damage and only physical damage for parts, frame, wheels or accessories, excluding life and health coverage.
- e) You are responsible for all cycles and equipment hired or loaned and it is your responsibility to keep these items safe from damage, loss or theft, use it in a proper manner and not subject it to any misuse or unfair wear and tear.
- f) Any damage caused due to crash or neglect is the Customer’s responsibility and will be charged for, except in situations where the Customer has purchased the special service "Partial Coverage of Damage".
- g) You will notify REYNES CYCLING immediately of any loss, damage or theft to the hired cycles or equipment however caused. You will be responsible for paying REYNES CYCLING the costs of repair and parts replacement for any such loss, damage or theft.
- h) You will not offer for sale, sell, dispose, mortgage, lend, pledge or otherwise part with possession of the hired cycle(s) or equipment.
- i) REYNES CYCLING staff are usually available by phone (+34 623 12 39 95) or email ([email protected]) to help out with any problems during the hire period; however it is the customer’s responsibility to assemble, set up and keep a check on the bike they have hired. Whilst REYNES CYCLING will always do its best to have staff available during the hire period this cannot be guaranteed.
- j) In the event of technical problems due to the fault of REYNES CYCLING, no transfer compensation will be charged for emergency shuttle. In all other cases, compensation for the transfer is negotiated and charged individually.
3.3. Bicycle Component Modifications
- a) The hirer agrees not to make any significant modifications to the rented bike's components without prior authorization from Reynes Cycling S.L. ("REYNES CYCLING"). This includes but is not limited to changes to the frame, drivetrain, brakes, suspension, and wheels.
- b) If the hirer wishes to make any changes to the bike components, they must first contact REYNES CYCLING to request approval. REYNES CYCLING will assess the proposed modifications and, if deemed appropriate, arrange for a qualified mechanic to perform the changes.
- c) Any modifications made to the bike components without prior approval from REYNES CYCLING are strictly prohibited. If unauthorized modifications1 are made and result in damage to the bike or other losses (such as rendering the bike unfit for rental to subsequent clients), the hirer will be held responsible for any resulting compensation or repair costs.
- d) Any modifications to the bike that decrease2 its value or result in damage to its components will be considered as physical damage to the bike. The hirer will be liable for any associated repair or replacement costs according to the rules outlined in these Bike Hire Terms.
- e) If it is impossible for the hirer to obtain prior approval for a necessary modification due to extenuating circumstances, they must notify REYNES CYCLING before making the change and seek approval retrospectively.3
- f) The hirer acknowledges that unauthorized modifications resulting in damage to the bike or other losses may incur additional charges for compensation, repair, or replacement of parts, as determined by REYNES CYCLING.
- g) In the event of physical damage to bike components or unauthorized major modifications made by the hirer without prior approval from REYNES CYCLING, compensation will be calculated as follows:
- Component4 Prices: Compensation for damaged or modified components will be based on the Manufacturer's Suggested Retail Price (MSRP) or Publicly Displayed Price (PVP) for the respective components, as provided by the manufacturer.
- Repair Costs: In addition to component prices, compensation will also include the current rate of labor required for repairs or replacements, as determined by REYNES CYCLING.
- Determination of Compensation: Compensation for damages will be calculated based on the above-mentioned factors and may also include any associated costs incurred by REYNES CYCLING in restoring the bike to its original condition.
- Value Depreciation: Any modifications or damages that decrease the value of the bike will be considered as physical damage and charged accordingly, in accordance with the rules and policies of REYNES CYCLING.
3.4. Payments and Deposits
- a) Deposits are collected during the booking of the bikes on the website, phone, and email via online payment. The amount of the booking deposit is 50% of the total rental, and it may be revised. This deposit is refundable according to our cancellation policy.
- b) In consideration of our arranging and fulfilling your Hire by these terms and conditions you will pay REYNES CYCLING the 50% booking deposit for your period of Hire in advance of the hire commencing. The outstanding payment will be processed during the pick-up or bike's delivery.
- c) A Credit Card will be required at the commencement of any hire period. This may extend to a deposit to the value of the cycle(s) by credit or debit card payment or other surety as deemed sufficient by REYNES CYCLING depending on REYNES CYCLING's assessment of the risk and the value of the equipment.
- d) If the terms set out in 3.4.c (above) are not complied with, REYNES CYCLING reserves the right to charge reasonable charges until such time when cycles and/or equipment concerned have been returned to REYNES CYCLING. In the case of cycles and/or equipment left or returned damaged, you are responsible for any costs incurred and sustained in replacing or repairing (whichever is cheaper) the items concerned to a condition equivalent to that prior to the Hire.
- e) In all cases, normal wear and tear as defined by the product's manufacturer or supplier is accepted and allowed and is included in any hire price.
3.5. Cancellation and Refund Policy
- Deposits are collected during the booking of the bikes on the website, phone, and email via online payment. The amount of the booking deposit is 50% and may be revised. This deposit is refundable, and our cancellation policy is as follows:
- Up to 4 weeks before the hire date or event: 100% refund of deposit minus transaction fees.
- Up to 3 weeks before the hire date or event: 50% refund of deposit minus transaction fees.
- Up to 14 days (2 weeks) before the event or hire date: 0% refund of deposit minus transaction fees.
- The deposit may be used for another rental period during the calendar year. For that, the Customer has to contact REYNES CYCLING via a suitable source (email or phone) and discuss the final terms and dates.
- If the hirer cancels the reservation within 3 days prior to the event or hire date or is a "no-show", the hirer is obligated to pay the full reservation amount.
3.6. Optional Service: "Partial Coverage of Damage"
This service is a part of the General Bicycle Hire Terms & Conditions.
- The service fee depends on the package per booking / per bike (as of February 11, 2024, subject to revision):
- Standard: 15 EUR / bike / reservation. Covers up to 300.00 EUR of damage.
- PRO: 30 EUR / bike / reservation. Covers up to 1000.00 EUR of damage.
- Team: 70 EUR / bike / reservation. Covers up to 2000.00 EUR of damage, and includes FREE technical assistance on the Road across the entire island*.
- The special service "Partial Coverage of Damage" is a service at REYNES CYCLING that covers partial compensation for damaged parts, frames, and accessories of hired bikes.
- IMPORTANT: The special service "Partial Coverage of Damage" is NOT LIFE or HEALTH INSURANCE for Customers and only covers parts, frames, and accessories of hired bikes. THE BIKES ARE NOT INSURED. The hirer is fully responsible for incidental theft or failure to return a cycle.
- If the customer purchases and makes payment for the service, the Terms and Conditions of this special service will automatically apply. The final amount of compensation will be calculated with the following rules:
- "Total compensation" = "Costs of repair or replacement" minus "Partial Coverage of Damage".
- Example: Costs of repair for damaged bicycle: 743.50 EUR. Partial Coverage of Damage (Standard): 300.00 EUR. Total compensation to be paid by the customer: 443.50 EUR.
- *Roadside Technical Assistance (Team package only): We strive to provide our service with the utmost speed and efficiency, aiming to assist you as quickly as possible. However, in certain instances, especially for remote locations, it may take a few hours for us to reach you. Rest assured, we are dedicated to minimizing response times and ensuring prompt assistance whenever feasible.
3.7. Personal Safety
- a) It is the rider’s responsibility for their own safety. Cycling involves personal risk and you must ride responsibly.
- b) Injury(s) and/or death associated with the sport of cycling may result from weather, excessive speed, collision with inanimate objects or other persons, rider inexperience, error or abuse of equipment.
- c) First time or novice bikers should use the equipment under the supervision of an experienced rider.
- d) You must not cycle under the influence of alcohol, strong medication, other drugs or fatigue.
3.8. Our Liability to You
- a) REYNES CYCLING does not accept responsibility for death, personal injury and direct loss suffered by you that are not a direct result of our gross negligence or willful misconduct.
- b) REYNES CYCLING will not be liable to you where any alleged loss or damage results from:
- Any of your own actions or omissions;5
- The action or omission of a third party not connected with the provision of your bike hire;
- An event or circumstances which we could not have predicted or avoided even after taking all reasonable care;
- Where any loss or damage is considered to be indirect or consequential loss.
- c) REYNES CYCLING’s total liability to you under this contract between us shall be limited to the total cost of your Booking.
- d) REYNES CYCLING shall have no liability to you if we are unable to fulfill a Booking due to an event of Force Majeure. In the event of REYNES CYCLING being unable to fulfill your booking our liability to you shall not exceed the agreed cost of the hire. In cases of Force Majeure/Acts of God, cancellations will not be permitted, but it will be possible to reschedule any booking to a later date.
3.9. Force Majeure Clause
REYNES CYCLING shall have no liability if it is unable to fulfill a booking due to an event of Force Majeure. Force Majeure shall mean any circumstance beyond the reasonable control of REYNES CYCLING, including, without limitation, acts of God, war, terrorism, civil unrest, government or governmental acts, fire, flood, explosion, epidemics, pandemics, quarantines, natural disasters, or any other similar cause beyond the reasonable control of REYNES CYCLING. In such cases, booking cancellations will not be permitted, but the option to reschedule the booking to a later date will be offered, subject to availability.
3.10. General6
- a) These terms and conditions constitute the entire agreement between us, and supersede any previous agreement or understanding and may not be varied except in writing between us. All other terms, express or implied by statute or otherwise, are excluded to the fullest extent permitted by law.
- b) Any notice required or permitted to be given by either of us to the other under these terms and conditions shall be in writing.7
- c) No failure or delay by either of us in exercising any of its rights under these terms and conditions shall be deemed to be a waiver of that right, and no waiver by either of us of any breach of these terms and conditions by the other shall be considered as a waiver of any subsequent breach of the same or any other provision.
- d) If any provision of these terms and conditions is held by any court or other competent authority to be invalid or unenforceable in whole or in part, the validity of the other provisions of these terms and conditions and the remainder of the provision in question shall not be affected.
- e) Except as otherwise expressly provided herein, nothing in these terms and conditions confers or purports to confer on any third party any benefit or any right to enforce any of these terms or conditions.
- f) These terms and conditions shall be governed by Spanish law, and both of us hereby agree to submit to the exclusive jurisdiction of the Spanish Courts in the province of Illes Balears.
